Position Title: 1.0 FTE Medical Office Assistant
Reports to: Clinical Director
Summary:
The Medical Office Assistant (MOA) plays a vital role as a member of the Harrow Health Centre Inc. The MOA is the first point of contact for patients requiring service. The MOA will primarily be responsible for scheduling and confirming patient appointments / tests / follow-ups and managing Primary Care Provider’s schedules. The Medical Office Assistant must be able to communicate and work effectively on a multidisciplinary team and have working knowledge of medical terminology.
Job Duties:
· Greet and direct clients to appropriate medical resources and / or services.
· Schedule and confirm patient appointments / tests / follow-ups. Reminder calls to patients
· Perform reception duties, including responding to telephone calls, visitors, staff
· Redirect calls or provide routine information which requires a detailed knowledge of the organization’s functions
· Share relevant information with other team members
· Book appointments and manage the daily schedule for all Primary Care Providers and Allied Health Professionals.
· Manage specialist referrals, which includes booking appointments and communicating appointments to clients
· Manage incoming faxes and outgoing faxes, referrals and prescription renewals
· Scan incoming documents
· Photocopy and distribute materials and handle incoming and outgoing mail / faxes
· Arrange for courier as required
· Receive incoming parcels, open and distribute mail. Prepare outgoing mail.
· Complete tasks assigned by Primary Care Providers and nursing.
· Give registration forms to patients and ensure that they are properly filled out.
· Update and maintain electronic medical record. Create forms, templates and macros.
· Attach unmatched HRM documents.
· And other duties as assigned.
Requirements:
· Ability to communicate and work effectively within a multidisciplinary team
· Working knowledge of medical terminology
· Experience with Accuro EMR
· Proficient in use of computers and other office equipment
· Previous experience in handling confidential or sensitive information; knowledge of applicable data privacy laws. Maintain patient and clinic confidentiality
· Meticulous records maintenance and accuracy
· Able to manage time efficiently and prioritize multiple tasks
· Ability to effectively manage challenging interactions
· Strong interpersonal skills
· Strong customer service orientation
· Display a professional manner
· Medical Administration Diploma (an asset)
Compensation:
· Hourly wage: based on experience.
· Hours of work: 40 hours per week
· Three weeks’ vacation per fiscal year (pro rata; based on start date)
· Paid Float days and Personal days
· Employer contribution to a group RRSP
· 7 paid sick days per fiscal year (pro rata; based on start date)
· Start date: ASAP
