Description:
The Student Services Coordinator is an integral member of the student services team, providing administrative and advising support to current and future students. The Student Services Coordinator is responsible for a range of administrative tasks associated with the smooth and successful running of both ILSC Vancouver and Greystone College Vancouver. These administrative tasks include, but are not limited to, creating various reports, preparing transcripts, coordinating graduation, collaborating with internal teams to support on finance and accounting tasks, answering phones, etc. In addition to administrative functions, the Student Services Coordinator completes advising tasks, supporting students with enrolments, guidance on their study plans, and supporting on any questions or concerns they may have.
With the many changes and innovations in ILSC and Greystone College (GSC), the role will require someone who is adaptable and comfortable working across different areas of the school. In addition to possessing these skills, a successful candidate for this role will be a strong communicator with excellent organizational skills and the ability to multitask.
The Student Services Coordinator is a full-time, salary position with 37.5 hours of work per week. The position will begin with daytime hours, Monday to Friday, but hours may vary and require flexibility.
Job Duties:
The job duties of this position include, but are not limited to:
Administration Assistance:
Manages ILSC and Greystone College administrative email accounts
Provides front desk student/customer support and answers phones
Ensures excellent customer service
Sorts through mail and packages received
Receives and tracks payments
Responsible for working with internal and external teams to oversee facility maintenance
Responsible for either opening or closing the campuses
Completes a broad range of database related tasks, including the allocation of students into classes.
Oversees creation, management and updating of all documents for ILSC and Greystone College including: School contracts, student intake reports and book inventory
Supports on student graduation including the preparation of graduation reports, coordination of the graduation event and creation/distribution of diplomas and transcripts
Responsible for connecting with Senior Management to check compliance related to admin, such as contracts, school policies, procedures, enrollment documentation, academic files, etc.
Follows up with student Study Permits (ILSC & GSC) and Work Permits (GSC)
Collaborate with registration team regarding pending students
Supporting the accounting and finance team through scanning invoices, collecting payments and coordinating required documents/procedures related to tax season
Assisting School Director and other managers with assigned tasks and projects
Other administration duties/tasks as required
Student Advising:
Providing advising assistance to students on their study plans, and extending to ILSC, GSC or partner programs
Assisting current students with any questions or issues they have on non-academic areas
Assisting with enrolling students into a new program or an extension
Assisting with liaising with agents in assigned agents/partners on student matters
Education and Experience Required:
Post-secondary education preferred
Experience in student services/administration, preferably in an international environment
Essential Qualifications, Skills, and Attributes:
Strong communication skills
Ability to multitask with strong attention to detail
Excellent organizational and computer skills
Proactive with strong problem solving and critical thinking skills
Collaborative and adaptable
A self starter who works well individually and in groups
Knowledge of another language, especially Spanish, Japanese, Mandarin or Korean is an asset
