The Opportunity

Reporting to Lead, Resources Services, this position provides support to clinical and non-clinical areas within the Health Centre, including to 120 investigators, their research teams in the facilitation of research activities. Advise and assist in areas related to research HR, facilities and information management. Position supports Lead, Resources Services with special projects as required.

Responsibilities Include But Are Not Limited To

• Human Resources & Payroll
• Advises research staff and research leads on HR related inquires.
• Coordinates and reviews HR forms prior to authorization.
• Liaises with research staff, IWK HR, Payroll and Benefits for HR and payroll related issues for IWK paid research personnel.
• Ensures compliance of health centre policies and procedures as they relate to research activities.
• Facility Management
• Supports Lead, Resource Services in the administration of research facilities.
• Authorizes and manages user access to Research Lab Security Doors and issuance of health centre identification, responsible for the Research Security Database.
• Collaborates with IWK departments as required for construction and renovation projects.
• Tracks and ensures compliance with equipment certification regulations for research laboratories.
• Supports initiatives as required for items such as IT projects, learning opportunities, space reassignment, etc.
• Supports the Lead in emergency planning and responding to facility maintenance issues.
• Information Management
• Coordinates tracking and verification of information through various research related data bases, spreadsheets and required documents, including summarizing for statistical purposes.
• Assist Manager, Research & Innovation Advancement with authorizing research related IT requests,
• Maintains confidential research files.
• Contributes to SOPs related to research infrastructure, HR and IT.
• Coordinates the processing and distribution of research documentation and communications as relates to research facilities, HR and IT.

Hours of Work

Monday to Friday, 37.5 hours week

Your Qualifications

• Undergraduate degree or equivalent combination of training and experience
• A minimum of three (3) to five (5) years’ experience in human relations, finance, or facility management
• Detail minded and accurate
• Demonstrates analytical and problem solving skills
• Demonstrates initiative and ability to work with minimal supervision required
• Proficiency in MS Office (Word, Access, Excel, PowerPoint), internet and email
• Proficiency in database management and applications
• Ability to work within a multi-disciplinary team environment
• understanding of various key areas in the health centre, e.g., Human Resources, Facilities and Energy Management, Redevelopment and Leasing Services, Protection and Business Continuity Services, Occupational Health & Safety, Infection Prevention & Control and Procurement Services
• Knowledge of Health Centre programs – SAP, RAM, ROMEO
• Ability to handle competing priorities and meet strict deadlines
• Show sound judgement, diplomacy, and discretion in handling confidential information
• Critical thinker, problem solver, adapts readily to new and unforeseen circumstances and finds alternative solutions
• Strong interpersonal communication and organizational skills
• Tactical response and effective time management
