K+S Aktiengesellschaft Looking for Executive Assistant at Saskatoon, SK Full Time

Your Responsibilities

The Executive Assistant will work closely with the Senior Leadership Team (SLT) to coordinate all meetings within the SLT management operating system (MOS). The Executive Assistant will also act as a subject matter expert for KSPC’s organizational effectiveness activities and will coach leaders on the implementation and improvement of these processes and systems. The Executive Assistant will report to the Senior Manager, Procurement and Corporate Affairs and will also have reporting accountabilities to the other members of the SLT.

The successful candidate will:

• Coordinate meetings at the Senior Leadership level within the management operating system (MOS) structure. This includes topics related to:
  • Financial planning, performance, and forecasting
  • Strategic planning
  • Project planning and performance
  • Asset management and equipment effectiveness
  • Ramp up
  • Organizational effectiveness
• Manage the inputs of all Senior Leadership Team meetings, including the coordination of presentation materials, KPIs reporting, meal requirements, meeting delegates, among others
• Manage the outputs of all Senior Leadership Team meetings, including minutes, action logs, decision logs, reminders/follow-up to action items, and continuous improvement topics for the meetings
• Manage confidential data and sensitive information with discretion
• Maintain and update a forward looking meeting calendar that advances the Senior Leadership Team’s meetings within appropriate timelines
• Maintain and update meeting guides and presentation templates
• Working with support from Communications and the President’s Administrative Assistant, coordinate logistics of Senior Leadership Team members meetings with external parties(including tours), such as K+S Headquarter officials, governments, industry associations, community groups, Indigenous groups, among others
• Provides support to the Corporate Affairs team for external communications including:
  • Research and information for key reports
  • Coordination of interdepartmental collaboration for government consultations / submissions
  • Draft letter writing / review
• Other strategic projects on an ad hoc basis

Your Profile

• Minimum 5-8 years’ experience, including supporting senior managers and/or executive
• College Certificate in Office Administration, Business Administration, or related field
• Strong aptitude for learning new skills
• Strong aptitude for challenging the status quo
• Experience in organizational effectiveness programs is an asset
• Experience with coaching methodologies is an asset
• Continuous improvement training is an asset
