Reporting to the Business Strategy and Governance Specialist , the Executive Assistant is responsible for all facets of support to the Business Leadership Group (BLG). This position supervises the KSPC centralized administration team and ensures the departmental administrative support needs are met with team alignment, communication, continuous improvement and working towards a common goal. Additional responsibilities include, but are not limited to
Provides non-routine, project-based and administrative support to the BLG, handling high volume of competing requests that require professional discernment on appropriate urgency/prioritization to complete
Provides extensive calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders throughout the company
Coordinates, schedules, and manages travel, meetings, speaking engagements and conferences for BLG
Independent coordination of multiple off-site meetings/events for the BLG
Prepares and processes documents, including non-routine correspondence, complex presentations, event planning contracts, and detailed reports
Independently writes communication on behalf of the BLG while also reviewing and editing documents for grammar, style, and formatting
Prepares reports and statistics based on information compiled from various sources on a regular basis
Represents business leadership and centralized administrative team to internal and external stakeholders regularly interacting to coordinate and anticipate senior leadership business needs
Coordination of other strategic projects as assigned
Supports the Manager, Business Strategy & Governance Services with project initiation and ownership to drive impact and value for broader Strategic goals
Planning and coordination of setting up the process and procedures of the centralized administration team
Proactively initiates and continuously improves administrative procedures within the centralized administrative team.
Documents and maintains group processes, procedures and programs relating to the centralized administrative team and supports employee onboarding.
Assessing ongoing performance of the centralized administration team
Managing office supplies and ensuring meeting spaces are ready and stocked
Display of collaborative leadership qualities coupled with a continuous learning approach to expand into people management of Administrative Assistants
Partnering with Manager, Business Strategy and Governance Services to learn/guide/support centralized admin team collaboration meetings.
Official back-up to centralized administration team and facility support in Saskatoon office
YOUR PROFILE

Minimum 5-8 years’ experience, including supporting senior managers and/or executive
Advanced working knowledge of Microsoft Office Suite (i.e. PowerPoint, Word, Excel, and shared collaborative tools such as Teams, Sharepoint and/or OneDrive for Office 365)
College Certificate or Diploma in Office Administration, Business Administration, or related field
Experience leading a team
Strong communication skills, verbal and written
Strong aptitude for learning new skills
Strong aptitude for challenging the status quo
Experience in organizational effectiveness programs is an asset
Experience with coaching methodologies is an asset
Continuous improvement training is an asset
Advanced working knowledge of Microsoft Office Suite (i.e., PowerPoint, Word, Excel, and shared collaborative tools such as Microsoft Teams, SharePoint and/or OneDrive for Office 365)
Comfort in learning new technologies as to become proficient in desktop systems/internal software necessary to successfully perform assigned tasks. May be asked to become “expert” and/or “trainer” in specified software platforms
Demonstrates understanding of company policies and procedures and their application/impact on company operations and success
