Overview:
The Marine Plant Administrator will join a high performing team and be a key contributor to the success of the Greater Vancouver Aggregates group. The Lafarge Marine Division provides tug and barge services to internal and external customers in the Greater Vancouver Area and Pacific Northwest.
The Marine Plant Administrator is a key member of the team; supporting tracking and payment of vendor invoicing, payroll and expense administration, data management for operational and maintenance KPIs, Work Order administration, maintaining and updating crew and vessel certifications and reporting.
The primary objectives of this role are to achieve efficiencies of operations and other critical revenue objectives for the market area while ensuring our offering promotes safety, service and value for our customers. The Marine Plant Administrator will work closely with all members of the Marine management team.
This role may involve occasional after-hours phone calls as operational demand or customer needs arise.
Responsibilities:
Health & Safety
Demonstrates a commitment to communicating, improving and adhering to safety policies in all work environment areas.
Participates in job observations and toolbox talks as required.
Maintains documentation on safety drills, exercises, tool box talks and training for Lafarge and Transport Canada reporting requirements.
Vendor Management Support:
Receive invoices against Purchase Orders
Create new vendor requests and maintain existing vendor records.
Ensure vendors meet applicable Lafarge policies before requesting Purchase orders.
Resolve supplier invoice discrepancies between supplier and Financial Services Center.
Create purchase orders and receiving records for Ariba system purchases.
Financial Support:
Maintain crew payroll files preparing balances for bi-weekly pay cycle
Assist with tracking P-Card and T&E expenses. Create applicable expense reports as required.
Allocate and reconcile fuel consumption to all site specific equipment.
Certificate Management:
Maintain crew certificate database to track tickets and expiry dates
Maintain vessel certificate database to track applicable documentation and expiry dates
Maintain annual Transport Canada vessel certificates (e.g. bunker, wreck, blue cards)
Maintenance Support:
Maintain consistent tracking of equipment hours for preventative maintenance processes
Track work orders for costing purposes and provide information to management.
Assist Maintenance Manager as required (e.g. to issue equipment maintenance notifications and work orders) to ensure preventative maintenance KPI’s are met.
Reporting and data entry:
Maintain data for operational spend items (e.g. grub) and crew overtime
Create sea time reports for crew as requested
Ad hoc reporting as per direction of Senior Manager
SAP access
Procure to Pay (P2P)
Plant Maintenance (PM)
Relationships with Other Jobs:
Reports to the Senior Manager, Marine Division
Daily interaction with Marine management team (Scheduler, Finance Analyst, Maintenance Manager, Dispatch)
Regular interaction with Aggregate team, vendor team, billing and invoicing
Qualifications:
A post-secondary education is required, preferably with an Accounting Diploma or other Business Administration background.
1-3 years of accounting experience is preferred in addition to other relevant construction materials experience.

Organized self-starter
