In our technology-driven advisory division (Launch Advisory), which you’ll be joining, we empower business owners by being their dedicated teammate across multiple core functions of their business – whether it be operations, technology, accounting, or finance. We know how difficult a business owner’s journey is (no matter what stage they’re at) and we’re striving to make their pursuit as simple as possible so they can spend more time on actually growing their business.

We’re a multidisciplinary team with accounting, finance, and technology backgrounds, as well as experience with working with startups and some of the most renowned brands, locally and internationally.

How will you get to make an impact?

Due to rapid growth, we’re looking to onboard an Administrative Assistant, Accounting/Bookkeeping & Operationsto join our team on a part-time basis (2-3 days per week on average).

You’ll get to work directly alongside founders and businesses from a diverse range of industries with a general focus on:

  • Providing ongoing Administrative, Data Entry and Bookkeeping Support using industry-leading cloud-based software and applications
  • Software/Technology analysis, which includes software research and implementation with a focus on improving operations (i.e. automating and streamlining workflows where possible), for both clients’ business and ours

About the Role and Daily Responsibilities

You’ll be directly responsible for helping both our clients and fellow teammates run lean and thrive to the best of their abilities.

Your role as an Administrative Assistant, Accounting/Bookkeeping & Operations will include, but is not limited to:

  • Working with a diverse set of clients and being one of their primary points of contact for general business questions and providing valuable administrative or bookkeeping support.
  • Reconciling receipts and invoices, reviewing business expenses and sales, processing payments, as well as performing routine bookkeeping tasks to help our team develop accurate monthly financial reports and analytics for owners to make pivotal business decisions.
  • Completion of weekly/monthly administrative, data entry, or bookkeeping tasks for clients so they can shift their focus onto growth, including bank reconciliations, reviewing documents and data for GST/PST tax returns, payroll, invoice generation, data entry, day-to-day bookkeeping, and so forth.
  • In addition to assisting with general administrative and data entry work both internally and for clients to provide more capacity for growth, you will be responsible for spearheading projects to identify and implement improvements or automations where possible to streamline processes or reduce the risk of errors.
  • Building and developing standardized processes for clients and our firm, based on the technologies being used.
  • Implementing cloud-based applications into your clients’ operations in order to automate workflows, including accounting systems.

You’ll become a primary point of contact whenever founders face challenges and also whenever they celebrate wins – sometimes this will be in-person, other times it will be on the phone or using an online conferencing or messaging system such as Zoom or Teams. You’ll also be playing an essential role in our team to help keep our operations running smoothly.

What you bring:

  • A post-secondary education completion in general business, accounting or finance (e.g. Diploma, Bachelor’s or equivalent, or greater). We will also consider candidates that are near completion of their program. We do consider candidates with a non-accounting or non-business background if you demonstrate a strong desire to learn through a cover letter or message with your application and other diverse experiences.
  • (Bonus) Any past experience with bookkeeping, accounting, or taxes. We do consider candidates without any experience as well if you demonstrate a strong desire to learn through a cover letter or message with your application and other diverse experiences.
  • A passion for data entry & analysis, numbers and bookkeeping, and the field of accounting, finance, and tax in order to help business owners.
  • A sincere interest for entrepreneurship, startups, and all things related to technology – the more you understand what’s happening in the software and startup world, the more you can learn about ways to improve businesses.
  • A sense of curiosity to always question why things are done a certain way and whether we can improve anything. You’re consistently curious about the “why” so you can make better decisions.
  • A strong sense of ambition and need to make an impact – you’ll thrive if you’re extremely motivated, humble, team-oriented, comfortable with change and ambiguity, and you have a can-do attitude for challenges of all types.
  • Top-notch relationship-building and communication skills (both verbal and written)
  • An aptitude for working with numbers, Excel, and data sets.
  • As a bonus and not a requirement: Experience with Quickbooks Online or Xero.
  • Other bonuses that are considered an asset: experience with web development, programming, digital marketing, copywriting, a passion for writing business-related content, and/or a strong mathematical background.

This is a part-time position with a start date as soon as possible. To start, we are looking for someone who can be available at least two days a week between Monday and Friday (~16 hours/week) – either two 8-hour days, or possibly three 5-6 hour days. This role can evolve into a full-time role in the future depending on performance and business circumstances.
