OVERVIEW
The candidate will provide reliable, timely, and professional support for day-to-day project administrative activities and will help support project/program level reporting requirements. The successful candidate will collaborate with internal stakeholders while working on a diverse program of industrial projects. The role will be located full-time at a terminal in the Port Moody area of the Lower Mainland for the course of detailed design and construction on a large-scale rail-based liquids unloading expansion.
Responsibilities
Undertake administrative tasks for project execution
Be available to work on site regularly (Lower Mainland) and remotely as required.
File project documents in the electronic project folder structure following the project standards
Track project commitments (e.g., purchase orders, contracts, etc.), invoices and chargebacks in the standard financial tracking tool as they are issued or received
Preparation of meeting minutes as required to support project planning and delivery
Prepare project-related correspondence / documents using standard templates
Review documents for standard numbering & formatting, spelling & grammar
Verify Contractor Check status for proposed contractors prior to the release of invitations to bid, etc.
Prepare construction-related contracts using standard templates
Support the preparation of monthly project and program reports for senior leadership review
Assist with the preparation of templates and checklists (in MS Word and MS Excel) for use with project delivery
Assist with the preparation of process maps (in MS Visio) for use with project planning/delivery and training
Provide support for the preparation of capital plan information
Other duties and projects as assigned.

Qualifications
A minimum 5 years of project administration experience as a project admin.
Experience working on site during construction.
Project management and administration education an asset
Strong organizational and interpersonal skills with the ability to effectively communicate in a multi-disciplinary environment
Proven analytical and problem-solving skills
Effective time management skills with the ability to work within tight deadlines, multi-task, and prioritization of workload
Ability to support a team remotely
Advanced proficiency in Microsoft Word, Excel, PowerPoint, Visio, Project, Office 360
Firsthand experience with SharePoint an asset
Effective and efficient problem solving and decision-making skills; thoughtful, proactive, and creative
Demonstrates a sense of urgency and a strong commitment to achieving goals; ability to work in a challenging, fast-paced environment
