THE POSITION
In support of a high-growth mandate, we’re hiring for an Office Administrator to join our dynamic and highly engaged People and Culture team (“P&C”). We recently moved into a brighter, larger office space in downtown Toronto, and we’re excited to expand our team with a dedicated office administrator who can also support our broader P&C team with admin tasks, programs, and ad-hoc requests. This is a diverse and dynamic role, well-suited for someone who’s highly organized, proactive, and eager to be a part of a growing team. If you join our team, you’ll play a key role in helping Maple be a top place to work; you’ll work closely with P&C professionals, gaining valuable experience and contributing to maintaining a positive and welcoming office space for all Maplers.
In this position, you’ll be responsible for:
Front desk duties: greeting employees, clients, and visitors during business hours, handling and directing incoming inquiries, and maintaining a tidy and presentable space.
Office operations: coordinating office activities and ensuring that all necessary supplies, equipment, and services are available and functioning properly; liaising with vendors, service providers, and building management to address any office-related issues or requests; monitoring office inventory levels and placing orders when necessary.
Office communication: keeping stakeholders informed with office-related announcements through a variety of mediums, including Slack and email.
Health and safety compliance: ensuring compliance with health and safety regulations and company policies to maintain a safe and secure working environment; monitoring and maintaining office cleanliness, including organizing regular maintenance and cleaning schedules.
HR support: assisting the P&C team with a variety of administrative tasks related to talent attraction, management, and retention; coordinating employee events and celebrations.
Financial administration: assisting with basic bookkeeping tasks, such as tracking expenses and reconciling receipts, and supporting the payroll process.
Travel and accommodation arrangements: coordinating travel arrangements, including flights, accommodations, and transportation, for employees as required; preparing itineraries and providing necessary travel information.
Critical to success in this role will be your strong organizational skills, attention to detail, and passion for providing excellent administrative support. In addition, you’re a strong communicator with exceptional interpersonal skills and a professional demeanor. You have the ability to prioritize tasks and work independently, and most importantly, you’re eager to invest in a career in People and Culture.
12 – 18 MONTH DELIVERABLES
Within the first 90 days, you will demonstrate a high level of autonomy when it comes to maintaining day-day operations of our office environment — ensuring exceptional administrative support to employees, and addressing inquiries and requests in a timely and professional manner.
In the next 12-18 months, you will contribute to HR initiatives and projects, taking ownership of assigned tasks and delivering high-quality outcomes within established timelines. You will also continue to support day-day operations of our office environment, including the coordination and execution of company events and meetings, handling logistics, and assisting with preparations.
CANDIDATE PROFILE
The ideal candidate has 2+ years of experience in an office administration role or a related field, such as customer service.
The candidate is able to demonstrate strong critical thinking skills, utilizing various problem-solving techniques and applying creativity and resourcefulness to solve day-to-day problems.
Highly detail-oriented with a strong focus on accuracy and quality, the candidate has a proven track record of improving efficiency while ensuring work complies with policies and procedures. Previous experience supporting key HR programs is considered an asset.
The candidate is an exceptional communicator who can clearly convey and receive messages to meet the needs of colleagues and internal stakeholders, along with the ability to handle sensitive and confidential information with discretion.
Proficient in a variety of web-based tools and technologies, including Google Suite (G-Cal, Docs, Sheets), the candidate has the ability to quickly master new software tools and platforms to do their day-to-day work.
