We are seeking a highly organized and motivated Assistant Clinic Manager to oversee daily operations and ensure smooth clinic functioning.

Key Responsibilities:

• Coordinate clinic schedules, maintain accurate EMR updates, and ensure clinic hours are up-to-date on Google.
• Review clinic staff timesheets for accuracy and oversee the payroll process and submit to the business manager for review.
• Conduct year-end performance reviews for clinic staff, ensuring alignment with organizational goals.
• Manage the recruitment process for administrative staff and Medical Office Assistants (MOAs).
• Oversee the onboarding process for new clinic staff, including comprehensive training and orientation.
• Manage the inventory of medical supplies and ensure regular maintenance of clinic equipment.
• Oversee vaccine ordering, handling, and compliance with healthcare regulations.
• Handle patient waitlists and oversee administrative staff and Medical Office Assistants (MOAs) organizing Meet & Greets with healthcare providers.
• Manage patient intake and walk-in flow, ensuring efficiency and patient satisfaction.
• Address patient communications, resolve escalations, and respond to urgent requests.
• Create and update standardized email templates for clinic communications.
• Oversee the processing of clinical records requests for legal and insurance purposes.

Qualifications:

• Bachelor’s degree in healthcare management, business administration, or a related field.
• 3+ years of experience in clinic management or healthcare operations.
• Excellent leadership and team management skills.
• Strong understanding of medical terminology, EMR systems, and clinic workflows.
• Outstanding organizational and multitasking abilities.
• Strong communication skills with the ability to interact effectively with patients, staff, and healthcare providers.
• Ability to work under pressure and resolve conflicts in a professional manner.
• Proficient in Microsoft Office Suite and EMR systems (knowledge of Telus PSS EMR is a plus).
