Job Description:
We are currently seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant to support a Mortgage Broker. As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of daily tasks, managing communications, and assisting in various administrative functions related to mortgage brokerage.
Responsibilities:
• Administrative Support:
• Provide comprehensive administrative support to the Mortgage Broker.
• Manage and organize the broker’s schedule, appointments, and meetings.
• Prepare and edit documents, reports, and correspondence.
• Communication Management:
• Act as a primary point of contact between the Mortgage Broker and clients.
• Handle incoming calls, emails, and inquiries professionally and efficiently.
• Assist in maintaining client relationships through effective communication.
• Documentation and File Management:
• Assist in the preparation and organization of mortgage applications and related
documents.
• Ensure accuracy and completeness of client files and documentation.
• Coordinate with various parties involved in the mortgage process.
• Maintain Social media platform:
• Assist in preparing reports and presentations for the Mortgage Broker.
• Need to maintain Instagram, Facebook and LinkedIn accounts for the Broker
Qualifications:
• Proven experience as an executive assistant or in a similar role.
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Knowledge of the mortgage industry or financial services is an asset.
• Knowledge of using CRM is an asset
• Previous Industry experience is an asset.
Education:
• Minimum of a high school diploma; additional qualifications in office administration or related field is a plus.
