Our fast-paced and motivated team is currently recruiting a Payroll & Benefits Administrator, who plays an integral role within Nomodic’s Operations team.

The Job*
The Payroll & Benefits Administrators’ primary focus is to process bi-weekly payroll for Canada-wide Nomodic Corporate and Field employees accurately and on time. This role is responsible for payroll and benefit administration, reporting and analytics, and assisting various HR programs and policies.

The Payroll & Benefits Administrator duties are to be performed at a high level of professionalism and moral standards, ensuring accuracy, timeliness and compliance is maintained throughout the work.

This is a fulltime position.

The Work*
Safety

• Support Nomodic’s safety vision and comply with all safety rules, policies, and procedures

Payroll

• Full cycle bi-weekly payroll
• Prepare payroll on a bi-weekly basis for salaried and hourly employees
• Verify hours reports for processing, verifying payroll calculations for multiple pay rates and departments
• Process and remit garnishments
• Prepare and verify off-cycle payroll runs as required
• Create, reconcile, and distribute payroll / benefit reports

• WCB support – assist with preparation of annual returns at year end
• WC recognition & reporting to accounting for payments as per Provincial Rules
• Ensure payroll setup and calculations are compliant with legislation and organization

policies

• Remain up to date on all new legislation and policies (Employment Standards, NPA)
• HRIS Data base maintenance and administration
• Assist in defining and documenting system needs/specifications to enable the development of programs and reports
• Data Integrity: Entering employee life cycle changes in the HRIS
• Reporting and Analytics
• Process terminations and issue ROEs
• Prepare pay cycle, quarterly and annual reconciliations in preparation for year end
• Create and review T4s and other year-end statements and reporting for accuracy
• Maintain payroll checklists and files
• Point person for all staff regarding payroll

Benefit Coordination

• Benefit program administration including:
• Adding employees to benefit plan
• Updating profiles wage/personal information changes
• Monthly benefit premium reconciliation, ensuring Maestro updated with changes

• Manage annual benefits renewal (with direction from CFO)
• Track health & dental benefits, Employee and Family Assistance Program
• Annual benefit reconciliation
• Assist with year-end audit reports, reconciliations, and related support
• Communicate with benefits providers as needed
• Provide policy guidance and interpretation
• Point person for all staff regarding benefits

Group RRSP Administration

• Adding new members to plan
• Submitting contributions each pay period
• Changing member information
• Changing member investment options in Maestro
• Members leaving plan administration
• Point person for all staff regarding Group RRSP

Human Resource Assistance

• On-boarding administration
• Position Change Administration
• Update title, compensation, reporting structure changes (with direction from HR Director) in Maestro & SunLife
• Terminate employees from Maestro, Bamboo, SunLife

• BambooHR Administrator
• Manage Corporate Vacation
• Send out vacation balances to department heads, quarterly

• Support to HR when needed to maintain employee files
• Policy development and updating

Other duties as required

What It Takes*
Education

• Completion of Payroll Compliance Practitioner (PCP) is required (or equivalent work experience)
• Completion of, or working towards Certified Employee Benefits Specialist (CEBS) designation a definite asset
• Must be fluent in English (written and verbal)
• Must have minimum of valid class 5 driver’s license

Skills and Experience

• 5+ years of practical experience specializing in Payroll and Time Administration, Benefit administration, HRIS experience
• Positive attitude is required as are excellent internal and external customer service skills
• Must have knowledge of current payroll related legislation and familiarity with employment standards
• Payroll accounting experience with proven knowledge of basic accounting principles
• Experience with Maestro ERP system a definite asset
• Strong interest in Human Resource practices and willingness to assist HR
• Excellent written and verbal communication skills; high level of organizational skills
• A willingness to learn, seek improvements, share information with peers, management, and end-users
• Excellent planning, organizing and logistics skills
• Adaptability and the ability to react quickly in a fast-paced environment
• Capable user of computer tools and systems to support the role, including Microsoft Office products, Maestro, and the willingness to introduce new IT tools to drive efficiencies and automation
• Accuracy and attention to detail, organizational, time management, technical writing, problem-solving, and decision-making skills
• High standards of ethical conduct; ensuring the preservation of confidential and/or sensitive information
• Ability to work under pressure

Working Conditions

• Work weeks are 5 days, Monday to Friday, 8 hours per day, with variable times due to workload
