Responsibilities
The Program Analyst is responsible for providing comprehensive support to the Primary Health Care (PHC) and Chronic Disease Management Network and Zone PHC Leadership Teams by ensuring all processes and system technology are efficient through effective coordination of the day-to-day operations of all tracking, reporting, monitoring, and document / project management systems. The position coordinates all information on project activities, tracking for business cases in collaboration with the financial analyst, and coordinates all contract management processes required to support the PHC system. The role aids in reporting and updating of websites as well as establishes administrative procedures and guidelines and acts as a liaison with network team members, zone leaders, administrative assistants, corporate support teams, and other key stakeholders within the network, across networks, and across Nova Scotia Health.
This position provides additional support to individuals, committees or working groups as assigned, including the maintenance of meeting documentation, as well as supports other members of the leadership team on occasion. The Program Analyst provides provincial leadership support by managing document control on contracts, projects, status reports, and ensuring consistency in documentation and approaches on all major initiatives working collaboratively with the Director(s) and aids in the development of new processes and procedures to support the work of the PHC system. The Program Analyst is highly skilled in technology, with excellent working knowledge of the Microsoft Office Suite, Sharepoint including the creation and development of new Sharepoint sites, SmartSheet, Select Survey, SAP, communication tools (Zoom, Microsoft Teams, WebEx, etc) and other applications relevant to the position.
Qualifications
Undergraduate degree is required (ie, Business Administration or related field)
Minimum 3-5 years’ of progressively responsible experience in a project analyst role, providing project administrative support and office coordination, preferably within healthcare and within and integrated service model provided throughout several locations with multiple partners and stakeholders.
A recognized training certificate in project management would be considered an asset
Excellent collaboration, verbal and written communication skills
Strong analytical, problem solving and conceptual thinking skills
Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies, including advanced computer skills and proficiency with the Microsoft Office Suite.
Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information.
Ability to prioritize workload, meet deadlines, and work effectively under pressure with a high level of accuracy and attention to detail
Demonstrated ability to create and maintain excellent customer service
Demonstrated ability to build and manage relationships
Strong analytical skills and strong conflict resolution skills
Valid Nova Scotia Driver’s License
Experience in primary health care / community-based health care considered an asset
