Job summary

The Workplace Experience Assistant is responsible for acting as a first point of contact/brand ambassador at the main reception for members, staff and visitors while always ensuring to provide an exceptional customer experience. The incumbent is responsible for coordinating and supporting meetings logistics as well as organizing part time staff to work evening and weekend events.

The Workplace Experience Assistant will provide support for ad hoc Workplace Experience requests from across the organization.

Important Details:

• The individual in this position will be required to work five (5) days per week, on-site in our Toronto office
• The typical working hours for this role are 8:45 a.m. to 5:00 p.m. (Monday – Friday)
• Flexibility around the typical hours may be required on occasion based on operational requirements

How you will make a difference

• Acting as first point of contact/brand ambassador at reception desk, greeting and directing visitors while providing an exceptional customer experience. Ensuring meeting hosts are notified of guests’ arrival and that all security measures if required, are handled in compliance with OMA protocols and policies
• Assisting with meeting room bookings as required and is responsible for keeping the meeting rooms maintained to standards throughout the day
• Organizing part-time staff to work evening and weekend events
• Coordinating OMA internal meeting food and beverage services ensuring quality and service levels are maintained at the highest levels and resolves any issues as required
• Ensuring meeting rooms are prepared to receive catered food and beverages at required times and cleaned at end of each meeting
• Ensuring all kitchenettes & meeting rooms are stocked and maintained, always ensuring a clean and professional environment.Orderingsupplies and coordinatingequipment repairs as required
• Providing support for ad hoc workplace experience requests from across the organization

Requirements that are important to us
