The Job!

This amazing opportunity is available for a highly organized and intuitive professional who has experience supporting busy executives. In this role you will utilize your strong organizational and judgement skills.

Daily, you will take care of:

• Extensive calendar management, using judgement and initiative to move meetings and sending advance reminders.
• Strong experience with complicated travel arrangements during busy times.
• Using PowerPoint for Decks.
• Coordinate all administrative aspects, including dynamic calendar management, meeting setup (A/V equipment and catering, etc.), guest pickups, expense reports, travel arrangements, and ordering of supplies to ensure the team operates efficiently and effectively.
• Coordinate and work closely with the executives’ offices to ensure deadlines are met and high-quality reports are submitted.
• Schedule and organize the quarterly business review meetings and annual planning meetings.
• Work closely with the executives to schedule quarterly team town hall meetings, including agenda and presentation material preparation, etc.
• Onboard new employees.
• Plan and co-ordinate team events, and quarterly meetings.
• Oversee high level calendar by learning the business priorities, in addition to a volume of email triage and response.
• Coordinating complex schedules and travel itineraries.
• Organizing and filtering emails, drafting initial correspondence, and sending reminders for follow up.
• Arranging corporate and personal dinners, seating plans, guest lists and invites.
• Personal and corporate invoicing and expenses.
• Handling all calls that come into the office for them and being a gatekeeper.

What you bring to the job

This role will be an in-office role for 4 days a week, with some flexibility. Some weeks (depending on board meetings) it will be 5.

• The core hours for this role are 9-5 very little after hours work.
• 5 -15 years of relevant experience with a stable work history.
• Proven track record of supporting an executive.
• Able to maintain confidentiality on highly sensitive matters.
• High degree of professionalism, business maturity, common sense, and good judgement
• Detail-oriented and able to work well under pressure.
• Excellent prioritization and organizational skills.
• Experience monitoring budgets.
• Advanced MS Office Skills (Word, Excel and Outlook, PP).
