The Administration Manager’s role includes leading the Finance & Administration team to deliver all service commitments to our employees and vendors. This is accomplished by planning the work for each of the finance and administration positions and supporting each team member to ensure the successful execution of finance and administration tasks. This position requires the ability to use sound judgment, discretion, and professional integrity to lead a service-focused team. You are always on the lookout for ways to improve the Finance and Administration team processes and functions. This position reports directly to the Manager.

Responsibilities

• Manages the Finance and Administration team and the day-to-day activities including accounts receivables and payables (AR/AP), billing, invoices, customer incoming/outgoing calls, documentation, and internal systems management.
• Lead and guide Finance and Administration staff to unparalleled customer service for both internal and external clients
• Lead the development of weekly/monthly KPIs and reports (operational and F&A)
• Assist with financial reporting and period-end procedures, ie. Weekly Truck Broker Pay
• Adhere to alignment in conjunction with head office Accounting
• Identify continuous improvement opportunities for F&A processes and act accordingly, including team-driven solutions
• Create and update employee Job Descriptions and Work Instructions (SOP’s)
• Work with individual employees to ensure a complete understanding of their Job Description, Working Instructions, and standards for each job responsibility
• Maintains employee service deliverables and job expectations by coaching, counseling, and disciplining employees (in conjunction with the HRBP)
• Conducts an annual job performance review for each team member using the company’s current review form, and aligning with the company’s performance review process.
• Conducts ‘one-on-one’ meetings with all staff on a monthly frequency with the objective to have a two-way discussion to engage, support, and develop the employee and foster a result-driven environment.
• Complete projects, tasks or other duties as assigned

Qualifications
Education, Certification(s) and Experience:

• Post-secondary diploma in Finance
• Minimum 3 years of progressive managerial experience
• Knowledge of finance procedures and optimization
• Proven success in driving team performance and results

Skills and Abilities:

• Leads by example to ensure that the team members know how to conduct themselves in their work environment.
• Well developed written and verbal English language communication skills
• Flexible interpersonal communication skills, able to adapt to the situation
• Strong organizational and time management skills to develop, coordinate and complete multiple tasks and projects
