Responsibilities:
– Manage vendor accounts, including the setup and maintenance of vendor information in the accounting system.
– Review and code a high volume of invoices, ensuring accuracy and adherence to company policies and procedures.
– Match invoices to purchase orders and receiving documentation, resolving discrepancies as necessary.
– Process payments accurately and in a timely manner, adhering to payment terms and discount opportunities.
– Collaborate with internal stakeholders to resolve any invoice or payment-related issues or inquiries.
– Conduct regular vendor statement reconciliations to ensure all invoices are accounted for and payments are up to date.
– Maintain accurate and up-to-date accounts payable records, including proper documentation and filing systems.
– Assist in month-end close activities related to accounts payable, such as accruals and reconciliations, as needed.
– Support the implementation and improvement of accounts payable processes and procedures.
– Stay updated on industry trends and best practices related to accounts payable and vendor management.
Requirements:
– High school diploma or equivalent; associate’s degree or certification in accounting or related field is a plus.
– Proven experience as an Accounts Payable Administrator or in a similar role, with a focus on vendor management and invoice processing.
– Proficiency in using accounting software and Microsoft Office Suite, particularly Excel.
– Strong attention to detail and accuracy, with the ability to handle a high volume of invoices and payments efficiently.
– Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
– Strong communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
– Knowledge of accounts payable best practices, including coding, matching, and reconciling invoices.
– Familiarity with basic accounting principles and procedures.
– Ability to work independently and adapt to changing priorities in a fast-paced environment.
