Rocky Mountaineer Looking for Onboard Logistics Assistant (Seasonal / Full-time) at Vancouver, BC Full Time

The Onboard Logistics Assistant reports to the Director of Onboard Operations /Onboard Logistics Specialist and provides scheduling and logistics support for the Onboard team.
Key Areas of Accountability
Onboard Scheduling

• Support the Onboard Logistics Specialist by connecting with the onboard crew members to manage schedule changes
• Assist with pre-season uniform ordering, and inventory management. Conduct uniform fitting sessions Place orders for Nametags and create Luggage Tags
• Assist Onboard Managers to update the scheduling tool, Shift Expert on departure mornings

Onboard Accommodations & Transportation

• Book flights for Onboard crew with Air Canada flight pass program, and coordinate ground transfers.
• Manage crew hotel inventory, book rooms for Onboard crew and Head End (OMTs) crew
• Provide assistance to the RTR team in Denver as required

Onboard Payroll Administration

• Manage Concur expenses for Canadian route (RGR, FPW, JTC)
• Provide support with invoices (reviewing information is correct and coding) and weekly gratuities process
• Cooperate, when needed, with Timesheets by entering the hours provided by Train Managers
• Respond to inquiries from team members regarding scheduling or pay statement concerns

Qualifications*
Education/Certifications/Knowledge

• Post-secondary education is considered an asset

Experience

• 1 – 2 years’ experience in an office environment and/or administrative capacity
• Experience with systems or platforms (Salesforce, HRIS, Payroll) considered an asset
• Experience scheduling shifts for large teams considered an asset
• Experience or exposure to the hospitality, travel or tourism industry considered an asset

Skills

• Self-motivated, autonomous worker with strong work ethic
• Strong verbal and written communication skills
• Intermediate MS Office (Outlook, Word, Excel) Intermediate proficiency with systems and software including MS Office and MS SharePoint

Work Environment

• Must be legally entitled to work in Canada for the duration of the operating season
• Corporate Office – Vancouver based; This position requires availability on weekends and statutory holidays throughout the season. Working hours are 8:00am to 4:00pm and can be flexible
• Seasonal position: March to October

Wage

Rocky Mountaineer (RM) is committed to the safety and health of our team members through providing a safe working environment. As a federally regulated transportation organization, we have a duty to comply with all applicable legislative requirements.
Therefore, all individuals who will start working with RM on November 12, 2021 onwards, will be required to present proof of vaccination confirming they are fully vaccinated against COVID-19 prior to beginning their employment. An individual is fully vaccinated 14 days after receiving their second dose of a two-dose COVID-19 vaccine series or their first dose of a one-dose approved vaccine by Health Canada. Offers of employment to start work with RM on or after November 12, 2021 will be conditional upon receipt of proof of the job candidate being fully vaccinated against COVID-19.
