The Facilities Manager is responsible for the Responsible for the oversight of all building-related activities at the Samsung Head Office in Mississauga. With a focus on overseeing building operations, service contracts and budget management. The incumbent must build highly productive, effective, and collaborative relationships across the organization (Finance, Legal, People Team, Executives, etc).They are required to liaise with internal customers to understand needs and resolve problems in a timely manner.

Role And Responsibilities

Facilities Management/Vendor Management:

• Leading the management of office facilities at Samsung Headquarters in Mississauga
• Ensure the day-to-day operations of the facilities including site services (cleaning, cafeteria, mail room, reception, coffee services, etc) and general maintenance are implemented and carried out
• Responsible for office projects, including facilities changes i.e. construction and renovation projects, office moves and managing all required vendors
• Responsible for facilities budget management and reporting

Physical Security

• Monitor facilities to ensure safety and controlled access points
• Oversee management of pass cards for new employees, reception visitors, etc.
• Responsible for management, change and implement the security and surveillance system (including managing Security access server and CCTV server)
• Establish and create reports on security as required

Health & Safety

• Chair the Health & Safety Committee for Samsung Head office
• Responsible for the overall Health and Safety procedures and application for Head Office
• Develop, implement, train and execute Emergency Exit routines with Fire marshals
• Establish/maintain and ensure compliance with First aid training and emergency procedures
• Responsible for accident investigation and reports to WSIB
• Oversee monthly H&S office audits and report to management

People Management

• The manager is responsible for providing daily direction to respective team by delegating, assigned team, and monitors work completion and quality according to procedures and deadlines
• Recruits, coaches, and manages team performance, by providing appropriate feedback and assisting with development and/or improvement plans.
• Provide the necessary resources, tools and guidance for team to perform their duties, and help foster a culture of openness, innovation, and support within the work environment
• Ensure all direct reports successfully complete all required corporate and departmental training
• Participate in the development, implementation and communication of Corporate and Departmental policies, standards and procedures, to ensure consistency across all bases of the business
• Create, compile and report KPIs as required

Education

Skills and Qualifications

• A Bachelor’s Degree in business administration or a related field from a college or university asset
• Must hold a Facilities designation (CFM, FMP)
• Must have WSIB certification and First Aid Certified
• Procurement designation is an asset
• Project Management Diploma or degree is an asset

Knowledge

• Must have Microsoft Office Suite of PC software applications experience with Excel spreadsheet and PowerPoint preparation skills operating in an NT LAN/WAN systems environment
• Knowledge of government regulations and professional “best practices”, and industry trends regarding Facilities Management
• Professional, interpersonal and cultural skills to establish early and lasting trust, credibility and rapport at all levels of the organization
• Able to handle confidential/sensitive situations with tact and diplomacy.
• Able to work on multiple projects/problems while consistently managing deadlines
• Excellent written and verbal communication skills
• Track record of working cross-functionally and collaboratively at the senior management level
• Ability to work with and evaluate 3rd party vendors

Experience

• Have 5+ years facilities management experience with responsibility for the full range of facilities, property management, safety, security functions; construction and administration activities.
