Events Coordinator

A little description of the role…
As a key member of the Marketing team, the Events Coordinator is responsible for coordinating and supporting Solink’s in-person events and virtual events. You are an ENERGETIC and highly organized individual. You thrive working in a fast-paced environment and excel at multitasking. You thrive building relationships and know how important clear communication is. You look for ways to improve current processes, appreciate how important data is, and are very results driven.
WHO YOU ARE:
- You have 1-2 years of experience owning, running and executing successful events, both in person and virtual.
- You have exceptional organizational skills.
- You are a true people person and thrive working with many different personalities.
- You have experience managing event budgets.
- You have experience working on a fast-paced, highly productive marketing team.
- You have a knack for problem-solving while working in a fast-paced environment.
- You are able to travel within Canada and the United States, to attend events, as needed.
- You have excellent communication skills both written and verbal and strong cross-group communication and negotiation skills.
- You are detail-oriented and results-driven with a track record of managing projects to completion on-time.
- You have a customer service mindset and operate with the highest level of integrity.
- You have experience using a CRM – preferably Hubspot.
- You are able to work the occasional evening or weekend, as work load or travel schedule requires.
SECURITY REQUIREMENTS:
- Candidates must undergo a criminal records check upon hire;
- Be a Canadian Citizen (dual citizens included), or eligible to work in Canada;
- Be willing to comply with Solink’s own security policies and standards.
WHAT WILL YOU DO?
You will be responsible for the organization of events including:
- In-person trade shows/events
- Pre-event logistics (staff accommodations, booth logistics, budgeting, etc.)
- Pre-event promotion to ensure attendance and engagement
- Onsite event logistics (onsite logistics, booth set up and tear down, booth support)
- Post-event logistics (managing the travel report, attendee list processes, and timely post-event follow up)
- Webinars/virtual events
- Pre-event logistics (email list creation, registration landing page, speaker support)
- Pre-event promotional campaigns to drive attendance
- Event logistics (virtual support, speaker/moderator management, etc.)
- Post-event logistics (lead list cleanup, follow up support for sales, etc.
- You will build a plan with input from the travel teams for each event to determine the appropriate level of presence for Solink and work with internal and external resources to achieve the goal
- You will be responsible for the budget for each event assigned to you and must make financially responsible decisions throughout the planning and execution process
- You will keep up to date on industry trends and act as the team’s industry expert.
- You will be responsible for accurately uploading event leads into the CRM (HubSpot) and build/execute a followup plan, as needed
- Responsible for tracking and reporting on key metrics for events and community including KPIs and ROI
