POSITION SUMMARY

This is a newly created position that has been put in place to respond to the recognized need for strong, specialized human resources guidance and support for the leaders and staff of the organization and will report to the Director of Finance, HR & Administration.

The HR Generalist will be responsible for the day-to-day administration of the processes and systems that support the Human Resources function at CJHS. They will work as an individual contributor and serve as the main point of contact for managers and employees in relation to the employee life cycle, benefits plan administration, interpretation of policy, staff records and documentation, and employee relations. This role works in a hybrid fashion that combines onsite and remote work to meet the needs of the business and support the leaders and people at CJHS locations across Calgary.

The successful candidate will be required to provide:

• proof that they are fully vaccinated against COVID-19.
  
  Where the candidate has not obtained the vaccine, the candidate will be considered on an exceptional, and case by case basis; CJHS will adhere with its obligations under the Alberta Human Rights Act; and
• A Police Information Check (PIC)

RESPONSIBILITIES & SCOPE OF EMPLOYMENT

The primary focus and areas of responsibility include:

• Acting as the main point of contact for the Human Resources function in support of the business operations for internal and external inquiries
• Administration of the BambooHR software application as a Super User and as it relates to the applicant tracking, onboarding process (creation of offer letters and digital onboarding documents), training and certification records, reporting, and information audits
• Advises the Director of Finance, HR & Admin on the development of HR initiatives and strategy development
• Collaborates with and provides guidance to the payroll administrator
• Maintains and ensures the accuracy of data and records within digital staff filing
• Provides support and guidance to managers on matters of employee changes such as internal transfers, salary rate changes, documentation of performance management concerns, and changes to the terms and conditions of employment
• Collaborates with hiring managers to carry out the administrative and documentation process for new hires and departures to ensure the payroll and benefits records are accurate and up to date
• Creates and posts relevant HR communications content to employees on a regular and ad hoc basis
• Provides guidance on the application and interpretation of established Human Resources policies
• Participates in the creation and revision of job descriptions
• Supports the recruitment and selection process by posting job vacancies and ensuring hiring managers follow an established workflow to hire and onboard employees
• Administers the employee group benefits program (maintain a calendar of new employee enrolment dates, ensure enrolment forms are complete and submitted to the insurance carrier on time, assignment of group benefits premium payroll deductions, process employee changes as they occur)
• Completes regular audits of records to ensure and enforce compliance and in support of external audit when required
• Participates and contributes to CCVO (Calgary Chamber of Voluntary Organizations) – a member-based network of HR and other business professionals within the Calgary non-profit sector.

The scope of employment may include:

• Sitting at a desk for multiple consecutive hours
• Lifting and/or moving boxes and other office items that weigh approximately 20 lbs
• Being subject to potential difficult client situations that involve the impact of trauma and/or death of clients

EXPERIENCE & EDUCATION

• Post-secondary education in human resources management, business administration, psychology, or a related field
• CPHR designation or working towards is an asset
• 3+ years of experience in a focused administrative capacity to the HR function
• 2+ years of human resources practice experience as a coordinator, generalist, or other role
• Knowledgeable, skilled user of HRIS software platforms including their functionality and capability
• Experience and knowledge of the non-profit sector is an asset

SKILLS & ABILITIES

• Business acumen coupled with working knowledge and understanding of HR best practices, employment standards, Human Rights, Privacy, and payroll legislation
• Experience using and familiarity with HRIS software (we use BambooHR)
  
• A willingness to lean into technology platforms and the ability to utilize and configure the automation process capability they possess
• Ability to guide and direct users, employees, and leaders on HR strategy and technology
• Excellent organizational skills, including problem-solving, and analytical skills
• Able to direct and manage priorities and workflow
• Strong interpersonal and professional communication skills
• Ability to work with minimal supervision, take initiative and be self-motivated
• Acute attention to detail and a commitment to excellence and high standards
• Excellent working knowledge of the Microsoft Office Suite of programs
