Job Description Summary

The Office of Senior Advisor International (SAI), Faculty of Education, coordinates the Faculty’s international engagement and programming. An important part of SAI’s mandate is to design, develop, market and oversee the implementation of a wide range of revenue-generating short-duration programs, visits and initiatives for international audiences.

Under the direction of the Director of International Initiatives in SAI, the International Program Coordinator plays an important role in the planning and implementation of short-duration professional development programs for visiting international students, teachers, faculty members and academic leaders. Responsibilities include identifying and facilitating new opportunities for international programs for targeted markets, fostering relationships with prospective and existing partner institutions, writing course materials and program outlines to respond to educational needs, developing and managing the administration and coordination for program delivery and implementation, and designing assessment tools.

Organizational Status

Reports to the Director of International Initiatives in SAI. Interacts directly with partner institutions and the visitors/students. Liaises with academic and administrative units in developing the programs/courses, and works with faculty and staff involved in the implementation of the programs.

Work Performed

• Plans, implements, and coordinates the international programs throughout the year. Specific tasks include, but are not limited to: researching the market needs, preparing proposals and program outlines based on partners’ inquiries, writing course materials, developing and managing the administration and coordination for successful and smooth program delivery, recommending and liaising with potential program instructors, training students hired to support implementation of programs, developing assessment tools and participating in program evaluation.
• Liaises directly with partner institutions to identify and the educational needs and come up with proposals to ensure that such needs are met.
• Guides and ensures effective implementation of educationally appropriate program delivery modes, learning materials and educational technologies employed, in collaboration with subject matter experts, the Faculty of Education Learning Design and Digital Innovation (LDDI) team, and in consultation with partner institutions.
• Develops program assessment tools including designing survey questionnaires. Administers post-program surveys among participants and administrators, compiles and analyses survey data, writes reports, follows up with partner institutions for in-depth discussion, as needed, and makes recommendations to the Director and the Senior Advisor International on program improvements.
• Liaises with partner institutions to build relationships and grow new businesses around program development and course revisions, as required.
• Prepares and delivers orientation sessions and supports program activities. Works directly with faculty and guest speakers to ensure programs’ coherence and effectiveness.
• Responsible for implementation of the Work Learn program in the Office. Writes detailed job descriptions reflecting needs of our programs and learning opportunities for students, makes proposal submissions, conducts interviews, provides direct supervision and mentoring to Work Learn students, writes requested reference letters.
• Collaborates with the Faculty of Education marketing team to develop marketing strategy across multiple channels to advertise our programs and strengths; and creates program and course descriptions to support such efforts.
• Manages the recording and archiving of international programs data.
• Manages the approved budget for each individual program following established financial guidelines.
• Stays on top of the status of multiple programs with regular reports to the Senior Advisor International and Director of International Initiatives and communicates program updates to the participants, partners and community, as needed.
• Provides translation/interpretation, as required.

Consequence of Error

Incorrect or poor decisions made by this position will have a significant impact on the quality of the program offered which could result in low satisfaction from partners, damage the reputation of the UBC Faculty of Education, and lose revenue. Poor judgments could result in legal liability of the University.

The incumbent is expected to exercise judgement in written and oral communications related to international programs and in managing and overseeing the delivery of international program support services.

Supervision Received

The incumbent works under well-established work procedures in the Office and reports to the Director, International Initiatives. May also receive directions from Senior Advisor, International.

Supervision Given

Manage temporary staff or student workers hired to support the programs and be responsible for recommending hiring, discipline, evaluation and termination for these temporary personnel.

Minimum Qualifications

University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications:

• Experience and interest in working with culturally diverse communities
• Experience/proficiency in the use of social media (Wechat/Twitter/Line, etc.) and advanced ability to use Microsoft Office (Excel, Word, PowerPoint, Outlook, at minimum)
• Demonstrated ability to work effectively under pressure and successfully meet tight timelines
• Ability to build relationships and work collaboratively with a variety of stakeholders (partners, subject matter experts, community members) as well as all others involved in the planning for and delivery of educational initiatives.
• Ability to show initiative and good judgement.
• Availability to work outside normal business hours (e.g., evenings and/or weekends), as may be required.
• Ability to work effectively as a member of a team, drive and support continuous innovation and improvement.
• Proven commitment to high quality performance, openness and responsiveness to feedback, attention to detail and excellence in customer service.
• International experience and knowledge of Mandarin Chinese would be a significant asset.
