POSITION TITLE: Project Assistant
DEPARTMENT: Planning and Engineering
SUPERVISOR: Planning and Engineering Manager
TERMS: Full Time, 1-year term with chance of extension

Purpose Of Position
Reporting to the Planning & Engineering Manager, the Project Assistant supports the management, development, and implementation of capital projects, including Le Estcwicwéy̓ (The Missing) Residential School and other community projects. The Project Assistant ensures that community projects are completed successfully on time, on budget, and in accordance with TteS objectives.
The Project Assistant is primarily a supporting role that offers a great opportunity to learn about all aspects of land development.
The Project Assistant is a talented, multi-tasking individual who is self-motivated, curious, and has the ability to embrace diverse challenges while being focused on end results. The Project Assistant provides assistance to TteS Project Managers in all aspects of a development project — from conceptual planning, feasibility analyses, municipal approvals, community and stakeholder consultation, funding applications, construction oversight through to completion and project close-out.
Duties And Responsibilities
Duties and Responsibilities: (95%)
This position reports directly to specific TteS Project Managers and responsibilities include:
- Arranging meetings, taking minutes, tracking action items.
- Managing team schedules
- Issuing RFPs, summarizing submissions, notifying proponents of outcomes.
- Coordinating public consultation events and neighbourhood engagement.
- Assisting with managing project consultants.
- Managing electronic and hard copy files and file sharing sites.
- Preparing applications to regulatory bodies, lenders and funders.
- Conducting general research and program analysis.
- Assisting with RFP responses and grant applications.
- Supporting the project team in general.
- Assist TteS client departments to clarify their objectives and resources
- Support the management of project workflow
- Manage relationships and coordinate with stakeholders, and project team for the flawless execution of projects.
- Coordinate and/or obtain permits and licenses from appropriate authorities.
- Support reporting to Indigenous Services Canada, First Nations Health Authority, and other funding agencies.
- Develop, monitor and update the project scope, budget and schedule.
- Complete monthly project reporting including change order management and quality assurance.
- Prepare reports for leadership regarding status of projects.
- Ensure that project milestones are achieved and documented
- Support regular project meetings
- Support community consultation events and engagement.
- Contribute to the ongoing improvement of TteS administrative systems and procedures
- Perform all duties and responsibilities in accordance with TteS policies, standards, and procedures.
- Awareness of reconciliation and application of the United Nations Declaration on the Rights of Indigenous Peoples (UNDRIP) in Canada – in all aspects of work with TteS.
- Maintain confidentiality on all matters relating to the affairs of TteS.
Other related duties as necessary (5%)
Professional Certification, Education And Experience
- A post-secondary degree/diploma in a technical or related field.
- (Management/business, non-profit, real estate, building design, finance, urban planning, and/or engineering, etc.)
- Project Management Professional (PMP) designation or equivalent certification is an asset
- 1-2 years of progressive and proven experience with construction project management representing owners.
- An acceptable equivalent combination of training and experience may be considered.
- Must possess a valid Class 5 BC Drivers Licence.
- Knowledge of the construction, appraisal, feasibility analysis, community consultation and municipal development approval processes
- Ability to manage multiple tasks and competing demands simultaneously.
- Knowledge of government funding mechanisms and approval processes
- Strong skills in Office (Excel, Word, Powerpoint).

HOURS OF WORK: Normal Day shifts – 7 hours. Non-normal shifts maybe required.
PAY GRADE: Starting at $22.59-$24.95/hour depending on experience
