Position

Reporting to the Manager, Academic Programs and Student Services, the Team Lead Academic Advising will supervise a team of academic advisors in the undergraduate and graduate programs within the Faculty of Pharmacy.

Our Student Services office supports 560 PharmD students and 70 graduate students with an annual intake of 145 students. With our PharmD program being an accredited program, the curriculum is very much prescribed and students only have the opportunity to take one elective throughout the course of the program.

Responsibilities

While providing support to the 3x coordinators this position supervises, they will also be responsible for leading the student services office and providing leadership to align with College of Health Sciences and Institutional best practices in this area. They will also be the primary point of contact for to prospective and current undergraduate Pharmacy students. Specific responsibilities include:

• Advisement of current students in relation to program requirements, course offerings, and associated university and community resources.
• Academic review and assessment of students regarding academic standing throughout the program as well as ensuring graduation requirements, clearing for convocation, and certifying degree completion.
• Analysis and interpretation of student transcripts and associated records and documents for admission and transfer credit assessment.
• Support the admission and orientation of students to the undergraduate program.
• Working independently and contribute to the student services experience, enrollment management strategy, and outreach goals in the Faculty of Pharmacy and Pharmaceutical Sciences.
• Liaising with the Associate Dean (Academic Programs), Assistant Deans, and
• Departmental Directors and act as a resource to faculty undergraduate advising, planning, and student services focused committees.
• Independent communication and interaction with a wide range of individuals from within and outside the institution.
• Possess a working knowledge of issues related to the Freedom of Information and
• Protection of Privacy Act (FOIPP), and accommodation of students with disabilities as well as a passion to work one-on-one with students.
• Development and/or management of confidential files and records.

Duties

• Supervision of 3x coordinators in the UGRD and GRAD program as well as leadership for the Faculty Student Services office.
• Primary point of contact for undergraduate student advising and program management including:
• Application assessment, reviews eligibility, advises students and faculty prior to admissions decisions, advises on best practices, and collaborates with institutional peers to ensure best practices are being realized and built upon.
• Program advising for students in the program on academic requirements, life stresses, and provides advice for maintaining a healthy balance of their academics and life outside academics.
• Overall academic administration of the PharmD program including: timetabling, course schedules, Campus Solution management, monitors enrolment, liaises with Registrar’s Office and College of Health Sciences, makes programmatic and course changes to University Calendar as appropriate, considers impacts of changes, and drafts changes based on recommendations.
• Student support for well-being and students-at-risk, students with interpersonal conflicts and problems integrating socially, and advise for connecting students to appropriate resources on and off-campus.
• Leads student facing initiatives such as Orientation, Whitecoat Ceremony, Student Association collaborating, Career Fairs, Open House, faculty recruitment efforts, and faculty student programming.

Minimum Qualifications

• Undergraduate degree;
• Formal staff supervision experience required.
• Minimum 5 year of experience in student services working directly with students and possess an intricate knowledge of student issues, supports, and opportunities.
• Ability to manage large volumes of work with strict deadlines.
• Ability to multitask, prioritize, work independently, and develop strategies to solve problems.
• Proficient in the use of Campus Solutions, Slate, Microsoft Office Suite, Google Suite.
• Excellent interpersonal communication (written and verbal) and ability to work collaboratively.
• Strong understanding and experience with systems thinking, process mapping, and process improvement preferred.
• Equivalent combinations or education and experience may be considered.

Preferred Qualifications

• Supervisory leadership, change management, and other relevant trainings would be assets.
• Significant intercultural competence (experience abroad, fluency in additional languages, relevant education or work experience) is preferred.
• Knowledge of University of Alberta academic policies and procedures preferred.
• Academic advising experience at the faculty or institutional level preferred.
