As an Administrative Assistant at our Insurance Company, you will play a pivotal role in ensuring the smooth operation of our office. You will be the first point of contact for clients and visitors, providing a warm and professional welcome. Additionally, you will assist with various administrative tasks to support our team’s efficiency.
Responsibilities:
- Front Desk Management:
- Greet and welcome clients, visitors, and employees with a friendly demeanor.
- Answer incoming calls, direct them to the appropriate person, and provide general information.
- Maintain a tidy and organized reception area.
- Administrative Support:
- Assist in scheduling appointments and managing calendars for the team.
- Prepare and distribute office correspondence, including emails, letters, and memos.
- Maintain and update filing systems, both digital and physical.
- Handle incoming and outgoing mail and packages.
- Customer Service:
- Provide excellent customer service by addressing inquiries and directing clients to the appropriate department.
- Assist clients with basic insurance-related inquiries and forms.
- Ensure a high level of professionalism and courtesy in all client interactions.
- Office Maintenance:
- Monitor and order office supplies as needed.
- Coordinate with facilities management for maintenance and repairs.
- Keep track of inventory and report any issues promptly.
Qualifications:
- Please Note – This role requires at least 1 years experience as an Administrative Assistant
- High school diploma or equivalent; degree preferred.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy.
- Professional appearance and demeanour.
