General Description of Duties:
This position provides administrative and clerical support to the CUPE staffing team and the ECE supervisors, with specific emphasis on the following job classifications and supply lists: RECEs, ECE Assistants, Lunch/morning Supervisors & Hall Monitors, Administrative Assistants and Library Technicians. The functions are to administer the CUPE collective agreement, understand past practices and precedents and ensure compliance with applicable legislation in day-to-day operations.
Maintain accurate personnel and staffing information in the HRIS and absent/replacement program of Smartfind
Processing information with deadlines to payroll through an integrated HR/payroll system;
Maintaining staffing lists for specific job classifications and providing support to administrators and other supervisory staff within the organization;
Facilitate and arrange the annual transfer processes for RECEs and the ECE Assistants in accordance with the CUPE collective agreement;
Follow up on statutory requirements related to Criminal Background Checks (CBC) and Offence Declarations and mandatory training;
Respond to inquiries and requests for leaves identified in both the collective agreement and Employment Standards Act (ESA)
Maintain databases, spreadsheets and prepare communications; maintain electronic file maintenance;
Facilitate, the recruitment of support staff and conduct the new employee presentations and orientations;
Review and update SmartFind profiles;
Carry out ad hoc research projects as assigned;
Maintain confidentiality in all aspects of the position;
Other duties as assigned.
Minimum Requirements:
Two year College level diploma in Human Resource Administration, Business/Secretarial or equivalency of Human Resource Certificate with related experience or experience in a related field;
Superior computer skills, including proficiency with Microsoft Office Suite programs and relational databases;
Sound knowledge of the principles of human resource practices and administration;
Experience in human resource administrative functions;
Working knowledge of relevant legislation;
Excellent interpersonal, organizational and communication skills (both written and verbal);
Demonstrated problem solving skills and analytical thinking and customer service commitment;
Desirable Assets:
Familiar with the business operating practices in the educational sector;
OASBO HRS certification
Salary (annual) Range:
PASS Level 1, $51,921 – $61,085 in accordance with the PASS Terms of Employment
Hours of Work: Permanent full time: 35 hours per week/12 months per year
