Job Overview
Working with a team of Human Resources Shared Services Coordinators and under general supervision, this role acts as the first point of contact to leaders and employees, providing consistent and efficient service, following established best practices, governance and service levels, in alignment with Wawanesa’s policies and processes. The HR Shared Services Coordinator uses a digital workflow ticketing system (or incident management tool) and provides HCM transaction support, core process and policy inquiry management and resolution on a wide range of topics (including inquiries about updating personal or work-related information, inquiries about policies, etc.).
Job Responsibilities
- Provide accurate and updated information to employee queries as per Wawanesa’s HR policies and procedures.
- Assists with recruitment and onboarding efforts including coordinating and scheduling interviews and onboarding new hires.
- Ensure availability of updated employee and HR related data on Wawanesa’s HRIS for the purpose of assisting in effective decision making with regards to HR policies, procedures, regulations across the company.
- Gather data from multiple sources, including HCM and Dayforce and prepare a variety of reports including ad hoc and recurring reports for Leaders, HR Business Partners and 3rd parties in compliance with company policies, to fulfill information requirements and support decision making.
- Follow all relevant department policies, processes, standard operating procedures and instructions so that work is carried out in a controlled and consistent manner.
- Contribute to the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reduction.
- Perform other duties as assigned.
Qualifications
- Enrollment in Diploma/ Bachelor’s degree in Human Resources or equivalent.
- Experience with basic technology functionality
- Proficiency with Microsoft Office Suites with emphasis on Excel
- Generalist knowledge of comprehensive up to date policies, process, labour laws and employment legislation.
- Strong consistent customer service, relationship management and interpersonal skills interacting with all position levels.
- Drive for results, using sound judgment and problem-solving skills while meeting established service level standards.
- Action oriented, multi-tasking and prioritizing critical items while learning quickly in a fast-paced environment.
- Proven teamwork capabilities and willingness to work alongside colleagues to resolve inquiries.
- Maintains confidentiality, discretion about detail and thoroughness in completing work tasks.
- French fluency is an asset.
