About the Role
Reporting to the Director, Facilities, the Office Administrator (Part-time; 20-hrs per week) will oversee the daily operations for our Halifax office to ensure it is running smoothly and will be the first point of contact and support to the team in Halifax.
Responsibilities:
Act as first point of contact for the office, greeting internal and external stakeholders, managing and routing phone calls and correspondence (e-mail, letters etc.)
Responsible for coordinating, tracking, and receiving of all incoming and outgoing mail and deliveries
Front line administrator for office security (e.g., programming cards for new employees internally and scheduling office access, when needed)
Coordinate any necessary cleaning and building maintenance required through the landlord and various contractors/vendors
Monitor office supply inventory, which includes stationery, printing supplies etc., and arranging for paper shredding service as needed
Responsible for monitoring and ordering supplies for the kitchen, which includes the coffee machine and water cooler delivery
General upkeep and ensuring office equipment including copiers are maintained, cleaned and in good working order and stocked with supplies including copiers and coffee machine
Assist with printing, scanning, and filing of documents as requested
Review and identify areas of opportunity regarding the overall office layout and cubicle furniture
Provide overall admin support, as needed, to the team in the Halifax office
Qualifications:
Experience as an office administrator, receptionist, or related role
Strong customer service, communication (written and verbal) and organizational skills
Ability to multitask, be flexible and adaptable
Excellent attention to detail and problem-solving skills
Self-motivated, takes initiative and ability to work with minimum supervision
Knowledge of Microsoft Office suite (Outlook, MS Word, MS Excel, PowerPoint)
