Position Summary
The Human Resources and Operations Coordinator manages coverage for the Teacher on Call system for York House School (K – 12) and supports the operational functions of the Junior School. This person supports Human Resources operations including recruitment, scheduling, employee health and wellness, and other programs. The person in this role will report to the Director of Human Resources and work closely with the Director of the Junior School.
To support the smooth operations of the school and the teacher-on-call system, the daily schedule for this role beings at 6:00am. Responsibilities include a varied range of activities from interacting with teachers and staff, scheduling software manipulation and updating, organizational and administrative tasks to employee program participation. This role is integral to support and ensure the effective functioning of key operations.
Teacher On Call Scheduler Responsibilities
Coordinates the daily coverage of faculty absences with on-call staff for the whole school utilizing scheduling software and spreadsheets
Manages and updates the scheduling software as personnel changes occur and system configuration changes are needed
Receives requests for coverage, coordinates a match with an on-call staff member
Maintains TOC tracking and record keeping
Communicates the coverage information with all applicable parties
Liaises with administrators for details of group activity coverage
Manages the roster of Teachers on Call; identifies hiring needs, creates job postings, conducts interviews, facilitates offers, and conducts onboarding activities that cultivate strong relationships and connection to the school
Manages the approval and input of TOC payroll
May participate in scheduling other staffing activities
Human Resources Responsibilities
Maintains record-keeping functions within Human Resources including criminal record check submission, teacher certification and qualification logs, employment policies, staff lists, onboarding documents
Coordinates a variety of employee programs and recognition activities
Prepares employee letters and agreements documenting terms and conditions of employment
Updates Human Resources Information Systems (HRIS) data
Contributes to the recruitment cycle such as preparing job postings, conducting reference checks
Input updates or revisions to policies and procedures
Other duties as assigned
School Operations Responsibilities
Performs operational tasks that support the functions of the office of the Director of Junior School:
Manages tasks, meetings, and communication that are confidential pertaining to families, students and staff
Supports the Director of Junior School with Emergency procedures and Risk Management tasks and documentation
Collaborates with the Administrative Assistant in attending to the Junior & Little School functioning
Works with the Assistant Director of Junior School with managing After School Care and Co-Curricular Clubs
Perform other duties as related or assigned by the Director of the Junior School
Knowledge Skills and Experience
Experience in managing software’s backend to keep it current and updated
Adept at developing procedures with a systems approach to simplify and streamline activity
Maintains confidentiality and privacy while working with personnel information
Demonstrated ability to communicate effectively with various personnel to ascertain and disseminate information timely with empathy and friendliness
Ability to exercise discretion, sound judgment, patience
Calm demeanor in addressing pressing situations
Experience in problem solving and decision making considering many variants
Experience with file management and revision control
Demonstrated experience in managing time well, prioritizing activities, project management and follow-through of initiatives and activities
Demonstrated ability to build trusting relationships and inspire collaboration and teamwork
Demonstrated ability to approach ambiguous or conflicting situations with curiosity
Excellent communication and interpersonal skills
Qualifications
Background in Education, Hospitality management, Retail management or other related service industry
Diploma in Business, Human Resources, or equivalent is an asset
2 or more years of experience in a Human Resources role is an asset
Prior supervisory experience, and in a unionized environment an asset
2 or more years of experience with managing staff schedules an asset
Willing to work a varying schedule
Previous experience with full recruitment process is an asset
Intermediate to advanced skills in Microsoft Office Suite (MS Word, Excel, PowerPoint) as well as proficiency with Mac, Google docs and Gmail, advanced spreadsheet skills, experience conducting mail merges, database experience
Adaptable and works well in an environment with multiple activities occurring
Some knowledge and understanding of Worksafe BC, Employment Standards, PIPA, Human Rights
