Support in the process of running a biweekly payroll for 1000+ employees in 6 different provinces by adding new hires into PeopleSoft ensuring accuracy and completeness, etc.
In collaboration with the Office Administrators, receive all new hire paperwork in the proper format, and all necessary paperwork is complete, accurate and all approvals included. •
Provide backup support to Payroll Specialist to run vacation accrual process, preparing manual cheques and submitting Records of Employment to Service Canada
Fully responsible for completing offer letters, letters to confirm change in rate and/or title for all locations using the templates required. •
Responsible for tracking employees on a work permit, including contacting the respective Office Administrator for updates, and ensuring appropriate actions are followed with expired work permits.
Responsible for managing the leave of absence process in coordination with the Office Administrators across Canada and the Benefits Specialist. These tasks may include contacting employee on leave, requesting update on condition and ensuring a current Doctor’s certificate remains in the employee file to justify the absence.
Workers’ Compensation letters to be sent to the respective location and ESIS department (providing workers compensation oversight). •
Keep organizational chart up to date.
Assist in processing new hire enrolments and/or changes to employee benefits that are required and supporting the process of benefit audits. • Process payment requests and obtain necessary approvals for all vouchers that are HR related.
Act as first point of contact for HR and Payroll related emails and responding to internal and external inquires.
Partner with other team members in the planning of special events, luncheons, Founder’s Day and retirement celebrations, etc. •
Assume an active role on the Health & Safety Committee for the location.
Participate in special projects as requested.
Qualifications
Experience:
2+ years’ work experience in payroll and human resources is a requirement
Working knowledge of payroll legislation in applicable provinces
Strong functional knowledge of PeopleSoft HCM/Kronos
Excellent computer skills with advanced Excel skills (vlookups, pivot table, etc.)
Strong analytical skills and great attention to details
Must be able to work independently with minimal supervision; prioritize competing activities in order to meet stringent deadlines
Education:
Bachelor’s undergraduate degree or other relevant HR education, preferred
Payroll Certification CPC level 1 (PA) certified or working towards designation required
