Who We’re Looking For:
The Onboarding/Office Coordinator works closely with Manager of HR and Chief of Staff. The Onboarding/Office Coordinator ensures that the overall day-to-day operations of the office are carried out to maintain a smooth, efficiently-run office. In addition, they will support in the full cycle recruitment process and onboarding of new employees.

Duties and Responsibilities:
Onboarding Duties:
Assist with full cycle recruiting process, some examples include; researching and sourcing top candidates, assisting with posting job, reviewing applicants and short listing, coordinating and scheduling interviews, reference checking etc.
Sending welcome email, new hire information and coordinating first day, with internal department leads
Assisting with training of new hires and presenting the new hire orientation
Coordinating new employee needs, including but not limited to cutting office keys, scheduling first day onboarding training
Helping to build training material for new hires and updating training and/or Employee handbook as needed
Office Duties:
Coordinating and organizing on and off-site meetings and other social events, including but not limited to: Booking meeting rooms, organizing event structures and schedules, and organizing flight and hotel itineraries and arrangements.
Ordering and stocking office and kitchen supplies and maintaining the office space.
Assisting with general administrative tasks related to software such as help tickets, permissions and access, tech checks, and website maintenance.
Ordering ad hoc company merchandise and coordinating courier shipping for client gifts and needs.
Managing service, office space, and internet requests through communicating and coordinating with providers.
Providing reception duties including welcoming guests, mail & couriers duties, and meal ordering.
Helping with office set up or moves, building furniture when required
Skills and Qualifications:
2+ year(s) experience in an administrative role
Demonstrating an understanding of full-cycle recruitment and onboarding
Excellent communication and interpersonal skills
Well organized with the ability to prioritize and multi-task
Self-starter and motivated
Experience using the Microsoft suite of products specifically MS Teams, SharePoint, and Office
Strong demonstration of living headversity’s skills and commitments
Working knowledge of computers and office equipment
Maintain a valid drivers license
Post secondary education in office administration or human resources considered an asset
Working Conditions:
Extended hours sitting at a desk
Using computers, printers, scanners and other office equipment
May require working evenings and weekends
May require travel
May require lifting up to 50lbs
