Position Summary: The Administrative Coordinator is an operationally, all-encompassing role that includes all branch administrative requirements. The role is responsible to participate as part of the administration team in all day-to-day administrative duties as required by the Service, New Projects and Sales Departments. The incumbent must be able to work independently and as part of a larger team. They must have a high degree of professionalism, drive for results and efficiency and have strong analytical skills.
Responsibilities:
- Provide administrative support to the Service and New Construction Departments.
- Manage Preventative Maintenance Contracts and coordinate with the local Sales Team on new contracts and contract renewals.
- Assist with collections and posting of P-Card receipts.
- Assist with collections and posting of vendor invoices.
- Provide administrative support related to Ainsworth National Accounts.
- Provide administrative support associated with client billing & third party closeout.
- Provide administrative support to local field staff.
- Back-up other Administrative Team members as required.
- Other general administrative duties as assigned.
Qualifications:
- Proficient computer skills, including knowledge of service management systems,
- Skilled in the Microsoft Office suite of programs
- Must be well organized and able to work independently in multi-tasking work environment.
- Proven ability to communicate effectively with a diverse group of internal and external individuals.
- Excellent written and verbal communication and the ability to document information and instructions.
- Team Focus – Capable of building relationships at all levels within the organization.
- Applicable Post Secondary Education would be considered as a positive.
