Position Summary
The Primary Care Response Assistant provides administrative support to the day-to-day operations of the First Nations Virtual Doctor of the Day (FNvDoD) and First Nations Virtual Substance Use and Psychiatry Service (FNvSUPs) clinics. The role is responsible for scheduling the providers by region and the Response Team, and also the consolidation and maximization of billings to ensure accuracy prior to submission to MSP. The role coordinates virtual staff with appropriate on the ground resources, which facilitates Electronic Medical Record integrations and workflows of program with other virtual support pathways. This position provides relief in the event of absence of a Response Team member. The role functions as a member of a collaborative and comprehensive health care team ensuring the provision of safe, ethical and culturally appropriate care to clients and their families.

We have a mandatory COVID-19 vaccination policy for all employees at First Nations Health Authority. This policy requires all employees to be fully vaccinated against COVID-19. Responsibilities
This position:
Acts as first point of contact for patients / clients and complete initial assessment of needs to determine the routing related to the care.
Registers patients and ensure accurate recordkeeping for all related documentation documentation (i.e. medical reports and chart notes)
Supports operations of the FNvDoD and FNvSUPs virtual medical offices by providing administrative and reception support in a virtual clinic environment which may include, but are not limited to:
Data entry and compiling information / statistics
Drafts correspondences and word processing as required, coordinates distribution of materials and information to relevant stakeholders
Develop and maintains a recordkeeping process
Reviews information, determines billing coding and conducts reconciliations
Reviews availability of primary care team and physician team, schedules client visits and appointments accordingly
Works with other members of the FNvDOD and FNvSUPs Team, as well as with community-based health and wellness providers to help coordinate mental health and substance use care and referrals as led by the Care Coordinator and/or specialist physician.
Communicates & coordinates with other offices, clinics, hospital, First Nations communities, FNHA Regional Teams, etc.
Coordinates ongoing information-sharing internally and externally, including sharing appropriate information with various audiences and keeping Primary Care Team informed of corporate news

Qualifications
Education & Experience
Graduation from a Medical Office Assistant Certificate Program from an accredited Community College
3 to 5 – years experience in a medical practice with advanced knowledge in billing, data and administrative processes, human resource management principles and practices, and current scheduling practices.
Knowledge, Skills & Attributes
Knowledge and Abilities
Demonstrates ability to utilize and understand Medical Terminology, in particular terminology related to substance use and mental health
Demonstrated knowledge of MSP Billing Practices and Fee Codes, medical issues and terminology, applicable regulations through the relevant healthcare provider colleges required.
Experience working with a First Nations Health Service Organization or experience working with First Nations people and communities is an asset
Current valid BC Driver’s License
High level of comfort working with technological applications including eMRs, Zoom, Microsoft Suite
De-escalation and supportive communication
Basic knowledge of the BC Mental Health Act
Must have proven ability to maintain professional conduct and confidentiality in the care of patients.
