Founded in 1910 and located in Calgary, Alberta, Canada, Mount Royal University grew into a vibrant college in the 1930s and became a mid-sized university in 2009. Reporting to the Director of Human Resources, the HR Coordinator partners with and provides support to the Human Resources Department teams and assigned Human Resources Business Partners. Across a broad spectrum of HR activities, the HR Coordinator supports activities in the areas of organizational effectiveness, change management, employee relations, and client strategic planning. Process management is a key component of the position which provides core transactional support and quality assurance within the department.
The HR Coordinator must be able to set their own priorities, communicate with other HR colleagues to resolve conflicting deadlines and set parameters for competing work. This position must establish their own methods and procedures for certain work and for organizing follow-up procedures. The HR Coordinator will initiate action and follow-up on work within areas of accountability, as well as independently responding to requests for information. The HR Coordinator is responsible for all the details and logistics regarding activities conducted by the HRBP they support. These include being the first point of contact regarding liaising with client areas, sending out communications, answering inquiries, scheduling, and the like.
The incumbent must anticipate challenges that could occur and require well-developed problem solving abilities. Considerable discretion and confidentiality must be exercised in responding to inquiries on a wide range of issues. The HR Coordinator must know when it is appropriate to release information and to whom (based upon established department procedures and compliant with FOIP).
The HR Coordinator is expected to develop their own methods of organizing and processing work; and to suggest ways of improving departmental processes at the department level to increase productivity and efficiency. They must be proactive in identifying problems that require special consideration and must be proactive in working to solve problems or locate information without waiting for direction. Managing multiple priorities and urgent deadlines while also providing prompt and accurate information to customers is a key accountability. The turnaround time for most projects is immediate (departments/employees want information/letters immediately).
The nature of the work is very confidential and often quite sensitive. The incumbent must always be discrete and conscious of what is said and how it may be perceived. The work also requires accuracy, and the incumbent must be very aware in keeping up-to-date on all changes to the department and University. The incumbent must be able to maintain accuracy in spite of short timelines and constantly changing priorities. The HR Coordinator is responsible to provide customer service for the Department, but also transactional support for the HRBPs and back-up support for the HR Administrative Assistant. The workload can be heavy, and the position requires exceptional time-management and organizational skills, and the ability to multitask, set priorities, notice details and meet short deadlines. In addition to a thorough knowledge of the Human Resources processes, the position requires that the incumbent have a broad perspective on the University and all its employees and activities.
Human Resources Department Support:
Works collaboratively across the Human Resources Department to coordinate, offer, and administer HR programs, projects, and activities
Administrative support in the development and delivery of HR solutions programs and processes
Coordinates administrative aspects of special projects, including organizational restructures, client area people management projects involving HR and talent movement
Creates documents and presentations in collaboration with HRBPs and other colleagues across the department
Coordinates the annual notice, tracking and payout project for MRU employees with excess vacation and/or accumulated time either for assigned client areas or as all encompassing project assignment
Collaborates with the Recruitment and Onboarding Specialists to administer the casual hiring process in response to requests from client areas. Ensures the usage of casual staff and casual hiring is aligned to policy and Staff Collective Agreement
Assists with formalize and ad hoc external requests for information and survey completion (e.g. salary, hiring statistics, sector comparisons)
Provides support for collective bargaining between the Board of Governors and the two Mount Royal Associations (MRSA and MRFA) – schedule negotiations and caucus sessions, prepare green sheets for signature, produce draft or research documents as requested, compile the new agreement
Participates on committees and working groups on behalf of the Human Resources Department as appropriate
Provides back-up support to the recruitment process, including postings and resume management
Relief reception and vacation coverage as necessary
Support of HR Business Partner(s):
Supports business partner activities related to organizational effectiveness, change management, employee relations and client strategic planning
Provides first point of contact support to employees regarding Human Resources related questions and triage / redirect employee queries as appropriate, ensuring effective response and / or resolution
Responds to information requests on a wide variety of topics such as new hire information, status of competitions, interview timelines, collective agreement interpretation, workshop programs, and general inquiries from the public and employees (often requiring looking up information)
Provides assistance to HRBP to ensure effective and efficient client support in Human Resources matters
Coordinates regular HR reporting for client areas, including client Organizational Charts, Hires, Terminations, Promotions and Transfers
Completes paperwork and associated processes / paperwork related to employee status changes, renewal, extension, parental / maternity leave, acting incumbency, acting appointments, and long term disability (LTD)
Provides support to position classification and compensation processes including but not limited to scheduling meetings with committee members; book meeting rooms; provide copies of position descriptions; enter classification results in Banner / encompassing Visions; complete position filing
Conducts research, data gathering, data integration and basic interpretation or analysis and assist with compilation of HR related data and metrics
Creates associated correspondence, reports, charts, presentations and spreadsheets related to research, data, and metrics
Transactional Support & Customer Service:
Provides transactional support for the Human Resources team such as, but not limited to, HRBPs, Recruitment and Onboarding Specialist, and HR Analyst as assigned. This includes but is not limited to completion / review of Employee Information Sheets (EIS’s) ensuring accuracy of content and quality assurance
Prepares exit packages for departing employees (termination and abolishment): create termination / abolishment memos; schedule exit interviews as applicable; send (and track) clearance forms to various MRU departments; return property of non-voluntary terminations
Manages and update the HR Department portion of the MRU website using CMS (Content Management System)
Updates HR handbooks as requested (employee staff and management handbook, management guidelines, hiring guidelines, etc.).
Ensures familiarity with and ensure all HR information is handled according to FOIP guidelines
Provides back-up and vacation coverage for administrative functions including reception, employment verification letters, incoming mail, and filing.
Provides back-up and vacation coverage for recruitment and on-boarding functions as requested: draft and publish postings; create offer letters; resume management; new employee check-in
Education:
Diploma or Certificate
Human Resources diploma is required in order to have the necessary knowledge, skills, and background to perform the role. Strong computer and office skills and training are also required, including Google/Microsoft Office Suite.
Experience:
3 – 5 years experience
Several years of experience are required in order to develop the necessary organizational, written and oral communication, computer, time management and customer service skills necessary for the position
Experience in a fast-paced office environment with multiple competing deadlines and constant interruptions would provide the best preparation for this job.
Previous experience in a Human Resources or similarly confidential and sensitive environment is also required
Skills and additional requirements:
Must demonstrate sound judgment in terms of situations that are priority and items that must be highlighted to a HRBP or Manager
Ability to independently manage work assignments and multiple priorities to achieve deadlines
Ability to communicate effectively in both written and oral form on sensitive issues in a busy environment
Proficiency in Microsoft Office software applications, HRIS, electronic databases and e-mail
Excellent customer service skills with the ability to tactfully handle conflict situations
Well-developed event planning and teamwork skills
Accuracy and attention to detail is essential
Ability to independently problem solve
Familiarity with FOIP and ability to maintain strict confidentiality
Aptitude for technology, in particular website updating and maintenance
