Description
Parléview’s Office Administrator will wear multiple hats. They will be responsible for bookkeeping and administrative duties, as well as supporting human resource functions.
Role and Responsibilities:
Bookkeeping
· Employee payroll
· Monthly expense reconciliation for all employees
· Processing accounts payable and receivable
· Develop system to account for financial transactions by establishing a chart of accounts; defining bookkeeping policies and procedures.
· Maintains historical records by filing documents.
· Prepares financial reports by collecting, analyzing, and summarizing account information and trends.
· Complies with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions.
Administration
· Assisting with flight, accommodation and travel reservation and bookings for all employees and program related requirements; including room blocks, flight itineraries, transfer schedules etc.
· Assist employees with procurement processes such as payments and budget tracking
· Support meeting set up and schedule planning for senior leadership
· Support in taking and summarizing client meeting minutes
· Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
· Purchasing office supplies and equipment.
· Carrying out clerical duties such as responding to emails, and preparing documents, including office correspondence, memos, resumes, and presentations etc.
Human Resources
· Support senior leadership with job postings, review and qualifying candidates and setting up interviews
· Onboarding new hires by educating on Parléview’s practices, how to, technology set up support, and policies and procedures
· Support in planning of employee performance reviews
Well Rounded
· Ensuring excellent customer service and quality delivery
· Be a positive role model and team member, adhering to Parléview’s standards, attitude, and conduct, adhering to our vision and values.
· Hours of work are Monday – Friday; regular business hours EST. Some hours may fluctuate daily as some of Parléview’s clients are located in other time zones.

Qualifications:
· Formal education/training in bookkeeping required
· Minimum 5 years of experience in bookkeeping and administrative functions with a Canadian Company
· Solid experience and proficiency using Quickbooks Online
· Proficiency in Excel and Office 365 enterprise solutions/tools
· Travel coordination experience an asset
· Human resource coordination experience an asset
· Ability to multi-task and work in a fast-paced environment is a must.
· A self starter, able to work independently and with minimal supervision
· Excellent verbal and written communication and interpersonal skills
· Ability to meet deadlines, adjust quickly to changes in priorities and work within a team environment to achieve results
Position is Full Time with estimated hours of 30-40 per week.
Job Types: Full-time, Permanent
Salary: $28.00 per hour
