Reporting to the Office Supervisor, the Customer Service Representative provides customer service in person or by telephone and provides office administrative support to River Cree Sports management. The Customer Service Representative must ensure that administrative duties are conducted in a professional, accurate and courteous manner
Answer incoming calls and either direct callers to the appropriate department or respond to inquiries
Provide service and information for walk-in customers
Accept and record various forms of payment of fees, using the facility accounting software.
Provide receipts to customers for ice, program, league or tournament payments
Take casual/spot rental ice bookings, prepare contracts and collect fees
Provide refunds for vending machines and record transactions for reimbursement
Provide information, accept registrations, and distribute schedules and results for in-house tournaments. Provide information and accept registrations for in-house programs. Update company database
Generate and distribute daily floods schedules
Ensure that Administration office is kept clean and free of clutter
Provide admin assistance to department managers and supervisors
Report repair and maintenance requirements to Operations Manager and Area Attendants
To look out for the safety of yourself, co-workers and guests to follow all Health and Safety requirements in the workplace.
Adhere to strict confidentiality and follow protocols of patron information
Are to monitor and report to department supervisors/managers immediately, if spots store, concession and league convenors have not arrived for set shift or departments open to the public
All other duties as assigned
Ability to work mostly evenings and weekends
Customer service, administration orientation
Team player with service or hospitality industry experience
Interested in working in an environment which is fast paced and always changing
Adaptable and able to communicate effectively with both customers and staff
Experience in ice arenas, relating to hockey or other ice uses is an asset
Excellent oral and written communication skills, neat in appearance and professional in attitude
Must be thorough, organized, articulate and punctual
Understand the sensitivity of confidential information
Must work well under pressure and pay particular attention to deadlines
Proficient with word processing and spreadsheet programs.
Strong cash handling experience
The CSR works various types of shifts on a rotating schedule that may include days, nights and evenings. All personnel must be available for all shifts assigned.
