Job Summary:
The Talent Acquisition Specialist is responsible for providing efficient and effective recruitment and selection support to all departments, divisions and programs within S.U.C.C.E.S.S.. This position is also responsible for conducting job analysis and creation and review of job descriptions. The Talent Acquisition Specialist acts as the first point of contact for all recruitment and selection-related enquiries and conducts all necessary recruitment steps such as: candidate screening, interviews, and reference checks. Provides high quality customer service, while ensuring positions are posted and filled as per targets. This position is also responsible for facilitating ongoing training and support for Managers and staff on recruitment and selection topics.
Key Duties and Responsibilities:
Recruitment & Selection:
- Prepares job postings
- Manages job requisition according to established timelines for job postings
- Pre-screens candidates
- Conducts phone screenings and/or interviews
- Schedules interview arrangements
- Conducts interviews with candidates when required
- Provides coaching and training on interviewing and selection to managers
- Conducts employment and education verification checks
- Conducts criminal background checks through third-party vendor
- Undertakes reference checks
- Assists the managers to ensure that preliminary documentation is completed and all requirements met before hiring, and onboarding
- Liaises with recruitment agencies when required
Management Support:
- Consults with hiring managers to review staffing requirements and determine effective recruitment channels
- Conducts a job analysis alongside with the hiring manager to ensure job descriptions are accurately reflected before the job posting creation
- Creates and reviews job descriptions alongside with the department, division, or program manager for Program Director approval
- Develops and implements proactive recruitment strategies to continuously maintain a pipeline of candidates
- Attends and participates in job fairs and recruitment events
- Works on ongoing recruitment projects
- Identifies training and coaching opportunities to educate managers on recruitment and selection topics
- Provides ongoing support to managers and staff enquiries regarding recruitment and selection matters
- Supports the Senior HR Manager with recruitment analytics and ad-hoc recruitment and selection reports
Administration and HR Support:
- Creates and updates recruitment and selection documents, such as templates, forms, and guides
- Maintains and updates confidential applicant and new hire records
- Prepares and reviews documentation for new hires and requests amendments or missing documents when required
- Collaborates with the HR Representative in processing new hires to ensure that onboarding requirements are met
- Helps maintain recruitment and selection records and files in HRMS and HR SharePoint
- Provides support in implementing human resources programs, policies, and services with established processes and guidelines
- Communicates and reports proactively on recruitment activity, recruitment metrics, and challenges with the HR team
- Conducts exit interviews when required
- Performs other related HR duties as assigned by the Senior HR Manager and/or Director of People and Technology
Education, Training and Experience:
- Post-Secondary education specializing in Human Resource Management or suitable combination of education and experience
- Minimum of two (2) years of experience in talent acquisition
- Experience with HR databases, Applicant Tracking Systems (ATS), and HRIS systems
- Knowledge in provincial and federal employment laws, regulations, and related legislations
- CPHR and/or RPR designation an asset or working towards the designation
- Previous experience working with non-profit organizations an asset
