The Role
Trindent Consulting is looking for an energetic, organized and detail-oriented individual to join our team. Reporting to the Office Manager, the Office Administrator, will play a key role in driving back-office and administrative efficiency to support a rapidly growing organization.
Responsibilities
• Provide excellent service through answering phones, greeting staff and visitors, processing incoming and outgoing mail.
• Maintain general orderliness and cleanliness of the office and building premises.
• Maintain and order general office supplies including kitchen, stationary, and tech items.
• Manage vendor relationships.
• Manage IT inventory (i.e., laptops, mobile phones, etc.).
• Assist in the appropriate transfer of information internally and externally.
• Support in document production (i.e., edits to contracts, sales/marketing documents, etc.).
• Support travel management for all consulting and sales staff.
• Support key team activities and social events.
• Coordinate and prepare meetings for the President, Vice President, Finance, and Human Resources (i.e., scheduling, printing, presentation preparation (PowerPoint), document preparation/editing, etc.).
• Support Human Resources in the onboarding of new hires (i.e., IT setup, employee headshots, administrative training, etc.).
• Perform other duties and ad hoc projects as assigned.
Do you have the skills to be successful in this role?
• Bachelor’s Degree or College Diploma in administration or related discipline.
• 1-2 years of experience as an office/administrative assistant or receptionist performing similar duties.
• Exceptional written and verbal communication skills.
• Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
• Experienced in using telecommunication platforms (i.e., conference calls, video conferencing, web meetings, etc.).
• Ambitious and proactive.
• Detail-oriented and works with a sense of urgency.
• Highly sociable, courteous, and professional.
• Ability to manage competing demands and priorities.
• Assertive and confident to work with strong personalities.
• Embraces problem solving challenges and opportunities.
