Position: Manager, Central Administration

Altum Health is a department within the University Health Network with over 300 employees across several regional sites (Toronto, Cambridge, Barrie, Hamilton, Oakville, Ajax, Mississauga, Vaughan, Brampton, Oshawa and Scarborough). We offer a full continuum of prevention, rehabilitation, and health care services to third party payors and individuals, including the Workplace Safety and Insurance Board (WSIB), employers, and insurers.

As an integral member of UHN, the Manager, Central Administration leads the central administration team who supports referral management, report production and record management centrally and between 12 Altum Health locations throughout Ontario. With similar values, these functions identify, plan, organize and arrange a coordinated approach for referral management and output of reports to help deliver Altum’s vision of the right care.
The Manager, Central Administration is charged with the responsibility of leading a team of Administrative Professionals. This includes onboarding and training new staff, overseeing process and procedures are followed and ensuring efficiency of operations and resource that support the multitude of ongoing projects and increased growth of the department.
Oversees all of the central administration functions of Altum Health which includes receiving referrals from third party payors, liaising with 12 sites across the region to ensure timely access, communicating with patients ensuring exceptional customer service, managing all paper records into electronic records on a timely basis, overseeing the production and quality assurance of all clinical reports that are sent to referral sources.
This position also requires frequent communication with other stakeholders through contractual agreements and medical consultants for scheduling of services as well as trouble shooting for any questions or issues that may arise.
Responsible for operation of department to ensure resources are able to meet fluctuating workload volumes while still timely access and conducting quality assurance of reports released from the organization.
Pro-actively identifies trends in referral volumes and communicates across sites to ensure that organization can meet fluctuating demands of services.
Hires, promotes, disciplines and terminates staff, as required and manages employee relation’ s issues.
Develops, implements and communicates performance measures; conducts regular performance appraisals of direct reports, providing ongoing coaching and feedback.
Develops, implements, manages and reviews short and long-term plans which are in alignment with UHN’s goals and strategies.
Monitors progress towards the achievement of goals at regular intervals and actions, as required.
Develops and implements day-to-day operating policies, systems and procedures to contribute to organizational effectiveness.
Monitors quality improvement outcomes on a regular basis; develops action plans to address identified issues.
Coaches staff to ensure that continuous quality improvement initiatives are incorporated into day-to-day activities.
Performs cross-functional and/or other duties consistent with the job classification, as assigned or requested.
Works in compliance of the Occupational Health & Safety Act and its regulations, reporting hazards, deficiencies and contraventions of the Act, in a timely manner.
A minimum of 4 years of practical and related experience
Previous management experience required
Experience working in a fast-paced and complex rehabilitation setting
Strong analytical skills with demonstrated ability to synthesize information into actionable plans
Strong people management skills including he ability to create positive, optimistic cultures
Strong focus on patient/client/customer experience and the ability to motivate and engage employees to deliver exceptional experiences
Demonstrated experience working in health care environment preferred
Experience working with WSIB legislation preferred
Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
